Thank you for agreeing to be speaker at one of our events – we couldn’t run our events without our dedicated team of speakers and we greatly appreciate you giving up your time. This page has been created for you; with resources and FAQs you may find helpful in preparing for your talk – be it at an onsite or online event.
We hope you find the information here useful, but if you have any further questions please don’t hesitate to email events@rcem.ac.uk and we’ll be happy to help.
Speaker resources
The following resources have been created by the events team and our experience conference presenters to help speakers prepare for their event
The following links are to external resources which may also support you in preparing for your talk:
+ As a speaker, am I able to stay for the full event, do I need to register?
Yes, as a speaker we are happy to waive the registration fee for the day on which you are speaking.
If you are speaking at a one day event, you do not need to register to attend, this will be done automatically for you.
If you are speaking at a multi day event, you will be able to attend the day you are speaking free of charge but will need to register and pay for any other days. A specific speaker registration link will be sent to you to complete this.
Yes, we will send a feedback survey to all delegates and will aim to send you the feedback from your session within one month of the event.
Yes, a speaker certificate will be sent to you by email within one month of the event.
+ Do I need to submit my presentation in advance?
Whilst you can bring your presentation on a USB on the day of the event, we would prefer you to submit your presentation in advance. This is so we can check the presentation on the event equipment and guarantee that it runs without issue. It also means your talk will be loaded ahead of time, allowing for a smoother onsite experience for yourself and delegates.
A Dropbox link will be provided by the RCEM events team when you are invited to submit your slides. If you can not find this, please email or send your presentation direct to events@rcem.ac.uk
Receipt of your presentation will be confirmed by email.
We would prefer you to send your slides in advance, or bring them with you on a USB. If you need to use your own laptop or device, please advise a member of the events team as soon as possible so this can be discussed with the AV team at the venue.
A slide template will be provided to you approximately 6 weeks ahead of the event date. A copy is also available to download here (link to slide template).
Please note you can use images, text etc. as you see fit, the RCEM logo does not have to appear on each slide and is just there as an example.
We would not advise using a plain white background with black text on your slides as some people find this difficult to access. If you would like to use a light background, we would advise using an off white or pale colour, such as in our slide template, to support us in making the event as accessible as possible.
Yes, you can claim travel expenses for attending the event. Travel claims need to be made within three months of the event and copies of your receipts/confirmations will also need to be submitted. Please note, we are only able to reimburse standard class travel on a direct route to and from your home and Where possible we encourage you to book early to take advantage of ‘advanced’ rates.
All travel expenses will need to be submitted by our finance system. You will be added to this in the week following your event and be emailed log in details and instructions.
+ Do I need to pre-record my presentation?
Whilst you do not need to pre-record your presentation, we would prefer you to do so to reduce the chance of technical difficulties on the day, and to assist us in keeping the event to time.
A Dropbox link will be provided by the RCEM events team when you are invited to submit your slides. If you can not find this, please email or send your presentation direct to events@rcem.ac.uk, or use www.wetransfer.com which is a free file sharing service.
Receipt of your presentation will be confirmed by email.
We recommend recording your presentation on Zoom. To do this, start a zoom call with yourself, share your screen and hit record. We can edit the video once it has been submitted to edit any dead space at the start or end of your talk.
For more information on how to use Zoom to record, please click here.
If you wish to use another method to record your presentation, that is not a problem however please ensure the video is submitted to us in a .mp4 format.
It would be helpful if you could submit your slides in advance via the Dropbox link sent to you ahead of the event. Whilst you will be sharing your own screen during the event to retain control of your slide deck, it is helpful for us to have a back up copy in case of technical issues. Your slides will also be converted to a PDF and added to the virtual platform post event.
Yes we have polling facilities built into our virtual platform and we encourage you to use them. Currently we have rating style or multiple choice style questions available.
Please do speak to the events team member looking after your event for more information on how to use the polling features.
You will be sent a speaker final information email approximately one week prior to the event which will contain the links you need to access the event.
Yes a speaker rehearsal will be organised at some time during the two weeks prior to the event. During this you will have the opportunity to learn how the event will work on the day, meet your other speakers as well as the chair and moderator, understand how delegates will interact with the event and ask any questions you have.
Still have questions? Please email events@rcem.ac.uk, email your programme lead or reach out to the RCEM events team member working on your event.
